The purpose of this Contractor Privacy Statement is to explain how Konnectable (“we”, “us”, “our”) collects, uses, discloses, and protects the personal information of contractors who work with us or express interest in doing so. This statement provides a clear, accessible summary for contractors and prospective contractors. It does not replace Konnectable’s internal Privacy Policy or Contractor Agreements, which continue to apply to all work performed under Konnectable. Konnectable is committed to respecting and protecting the privacy, confidentiality, and dignity of all individuals, in line with the Privacy Act and the NDIS Practice Standards.

Scope

This statement applies to:

  1. Current contractors engaged by Konnectable.
  2. Prospective contractors who enquire or apply to work with Konnectable.
  3. Former contractors whose personal information we continue to hold for legal, regulatory or record-keeping purposes.

This statement focuses specifically on how we collect, use, manage, and protect personal information relating to contractors. Personal information relating to NDIS participants and their supporters is governed by our broader organisational Privacy Policy.

Konnectable is committed to maintaining the privacy and confidentiality of contractor personal information that we collect, hold, and administer.

We collect personal information only where it is reasonably necessary for your engagement, onboarding, service delivery, compliance, or our legal and NDIS obligations. Personal information will not be collected without your consent unless permitted or required by law.

What personal information we collect about contractors

The personal information we collect about contractors may include:

1. Identity and contact details:

  1. Name, address, email, phone number, emergency contact details.

2. Professional information:

  1. Qualifications, registrations, professional memberships.
  2. NDIS Worker Screening, Working with Children / Vulnerable People checks.
  3. Police checks and other clearances.
  4. Resume/CV, work history, references.

3. Compliance and right-to-work information:

  1. Visa/residency status (where relevant).
  2. Insurance details (e.g. professional indemnity, public liability).
  3. Evidence of training or mandatory competencies.

4. Contractor business details:

  1. ABN and business registration details.
  2. Superannuation fund details (where required, depending on the contractor agreement type).

5. Technology and system-use information:

  1. Information you enter into our partnered platforms (e.g., Splose, WorkIt, Zendesk, or other approved CRMs/CMS).
  2. Login or account activity data (such as time of access, IP address, device/browser information).
  3. Emails, forms or messages sent to us through our website or support portal.

  1. Health information (e.g. fitness for work, workplace injury information where relevant).

How we collect contractor information

We collect contractor information:

1. Directly from you, for example when you:

  1. Enquire about working with Konnectable.
  2. Submit an application, CV or proposal.
  3. Complete onboarding forms or compliance documentation.
  4. Use our website, portals or systems.
  5. Communicate with us by email, phone, messaging, or support tickets.

2. From third parties, where you have authorised or it is permitted by law, such as:

  1. Referees.
  2. Background screening or verification services.
  3. Regulatory bodies (e.g. NDIS Worker Screening Unit).

3. Automatically through our website and systems, including:

  2. Log files and analytics to help us secure and improve our systems.

Why we collect contractor information and how we use it

We collect and use contractor personal information to:

1. Assess suitability and onboard you as a contractor:

  1. Review applications and expressions of interest.
  2. Verify identity, qualifications and clearances.
  3. Set you up in our relevant systems (e.g. CMS, HR/compliance tools).

2. Manage your engagement with Konnectable:

  1. Maintain records required under NDIS Practice Standards.
  2. Communicate changes to systems, standards and compliance expectations.

3. Manage billing and payments:

  1. Process contractor invoices.
  2. Maintain billing and payment records.
  3. Support audits and financial reporting.

4. Meet legal, regulatory and NDIS obligations:

  1. Demonstrate compliance with the NDIS Practice Standards.
  2. Respond to enquiries or requests from regulators or funding bodies where authorised or required by law.
  3. Manage incidents, complaints and quality reviews.

5. Improve our services and systems:

  1. Monitor the performance, security and usability of our systems.
  2. Develop or refine our contractor support resources and processes.

6. We will not use your personal information for purposes unrelated to your work with Konnectable unless:

  1. You have consented, or
  2. It is permitted or required by law.

Disclosure of contractor information

We may disclose contractor personal information to:

1. Internal Konnectable personnel:

  1. On a strict need-to-know basis, so they can perform their role (e.g. quality, finance, operations, compliance).

2. Service providers and technology partners:

  1. Cloud-based practice management, HR, billing or support tools (e.g. participant and notes systems, HR/compliance systems, invoicing and accounting platforms, secure file storage, IT support).
  2. These providers are engaged under agreements that require appropriate privacy and security protections.

3. Regulatory bodies, government agencies and NDIS-related entities - where required or authorised by law, for example:

  1. NDIS Quality and Safeguards Commission.
  2. Other relevant government departments.
  3. Professional or screening authorities.

4. Professional advisers:

  1. Accountants, auditors, insurers or legal advisers, where reasonably necessary for Konnectable’s operations or to manage disputes, audits or claims.

Security and storage of contractor information

Konnectable is committed to handling contractor information respectfully, securely, and in line with NDIS and privacy requirements.

We take reasonable steps to:

  1. Store information in secure electronic systems.
  2. Restrict access to a need-to-know basis.
  3. Use passwords, access controls and other safeguards to reduce the risk of unauthorised access, misuse or disclosure.
  4. Train relevant personnel and contractors in privacy, confidentiality and secure information handling.

Access to Konnectable documentation, systems and CMS is restricted to approved purposes and (for contractors) is limited to the work you perform under Konnectable.

We retain contractor information only for as long as needed:

  1. To manage your engagement.
  2. To meet legal, regulatory and NDIS obligations.
  3. To manage disputes or audits.

When information is no longer required, we take reasonable steps to destroy or de-identify it, in line with our internal policies and legal obligations.

Data breaches

If personal information is lost, accessed or disclosed in a way that is likely to result in serious harm, Konnectable will:

  1. Take steps to contain and assess the breach.
  2. Notify affected individuals where required.
  3. Comply with the Notifiable Data Breaches Scheme.
  4. Notify relevant bodies (such as the NDIS Commission or OAIC) where required by law.

Accessing and correcting your information

As a contractor, you have the right to:

  1. Request access to the personal information we hold about you.
  2. Request correction of information you believe is inaccurate, incomplete or out of date.

We may need to verify your identity before providing access or making changes.

In some circumstances, we may lawfully refuse access (for example, where providing access would impact the privacy of others or breach legal obligations). If that happens, we will explain why wherever possible.

  2. Updates to privacy or NDIS requirements.

When amendments are made, a new version of this document will be issued. By continuing your engagement with Konnectable after an amended version is released, you are taken to have accepted the updated statement.
